# Automate Financial Consolidation with Confidence

Last reviewed: October 2026

ScaleXP is financial consolidation software for small finance teams and multi-entity groups (up to 50 entities), including SaaS groups, on Xero, QuickBooks Online and Zoho Books. It brings every entity into one group view, converts subsidiary results into the parent currency, and applies intercompany eliminations once you have mapped the intercompany accounts.

- Consolidate across entities, currencies, and reporting structures
- Reduce spreadsheet-driven reporting delays
- Create clearer group reporting from unified data

#### Financial Consolidation & Reporting for Growing Groups

![Disconnected forecasting process across spreadsheets, CRM, billing, and accounting systems](https://www.scalexp.com/wp-content/uploads/2026/09/p29-lcp-sandbox/lcp-137698-740w.jpg)

Group reporting gets harder when each entity runs its own ledger, chart of accounts or currency. Spreadsheets then add delay. They also add version errors and extra review work before you can trust the numbers.

- Group reporting depends on manual spreadsheet logic
- Different entities use Xero, QBO, Zoho, or other platforms
- Currency conversion adds extra checks
- Board reporting takes too long to prepare

![Disconnected forecasting process across spreadsheets, CRM, billing, and accounting systems](https://www.scalexp.com/wp-content/uploads/2026/09/p29-lcp-sandbox/lcp-137698-620w.jpg)

ScaleXP gives you one place to run financial consolidation. Line up your data once. Refresh reports in seconds. Skip the spreadsheet rebuild every month.

- Consolidate data across Xero, QBO, Zoho, and other sources
- Match up reporting across different account structures
- Report by entity, group, department, or segment

## How Financial Consolidation Works in ScaleXP

![Blue-themed ScaleXP analytics image showing connected Xero, HubSpot, and QuickBooks logos to a dashboard with financial charts and currency widgets](https://www.scalexp.com/wp-content/uploads/2026/03/financial-consolidation-flows-into-accouting-systems-1024x959.png)

- Pull data from QuickBooks, Xero, Zoho Books and trial balance uploads into one place.
- Map each chart of accounts to one group format.
- Apply exchange rates and eliminate intercompany balances at group level.
- Report by entity, department, business unit, region or consolidated group.
- Refresh board packs from live group data.

## Replace Spreadsheet Consolidation Processes

![Shared operating dashboard across customer revenue and business performance data](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111112070-4-1024x659.png)

Spreadsheets hide risk in group reporting. Teams chase files. They check formulas, review mappings and fix version clashes. Only then can they look at the results.

- Manual exports slow month-end reporting
- Consolidation logic sits in fragile workbooks
- Review cycles increase when files change
- Trust drops when the audit trail is weak

### Faster Group Reporting

![Shared operating dashboard across customer revenue and business performance data](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111112070-4-1024x659.png)

ScaleXP cuts the manual work of gathering and merging data. Finance teams move from entity close to group reporting with fewer handoffs. There is far less spreadsheet prep.

- Less manual file collection each month
- Faster refresh of management reporting
- Shorter path from close to board pack
- More time for review and analysis

![Shared operating dashboard across customer revenue and business performance data](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111112070-4-1024x659.png)

### Stronger Reporting Control

![Financial dashboard showing metrics like MRR, ARR, CAC Payback, and LTV on a computer screen.](https://www.scalexp.com/wp-content/uploads/2023/05/Graphic-2-3-1024x751.png)

Financial consolidation software should improve control, not just speed. ScaleXP takes reporting logic out of linked files. It puts it in one steady workflow.

- Lower version-control risk across entities
- Clearer review process before reporting
- More consistent reporting structures
- Better visibility over mapped data

![Financial dashboard showing metrics like MRR, ARR, CAC Payback, and LTV on a computer screen.](https://www.scalexp.com/wp-content/uploads/2023/05/Graphic-2-3-1024x751.png)

### Better Multi-Entity Visibility

![Reporting drilled down by Xero Tracking Code across departments, projects and product lines](https://www.scalexp.com/wp-content/uploads/2026/03/tracknig-codes-1024x536.png)

Finance leaders can review results by entity, team and region. There is no need to rebuild views each month. Growing groups get a clearer picture.

- Report by entity and consolidated group
- Analyze by department or business unit
- Support Xero Tracking Codes reporting
- Support QBO Classes and Locations

## What You Can Do with ScaleXP Group Consolidation Software

![Dashboard displaying financial reports and charts from ScaleXP software with logos of Salesforce, Xero, HubSpot, QuickBooks, and Stripe.](https://www.scalexp.com/wp-content/uploads/2024/10/Group-1111112086-1024x604.png)

- Move group consolidation and reporting into one clear workflow. Rely less on linked workbooks and manual checks.
- Bring QuickBooks, Xero, Zoho Books and trial balance uploads together. No entity has to move to a new ledger.
- Apply exchange rates, intercompany eliminations and group adjustments in the same place the numbers come from.
- Refresh board and management packs from one place, without heavy enterprise tools. Give your board numbers they can trust.

![Dashboard displaying financial reports and charts from ScaleXP software with logos of Salesforce, Xero, HubSpot, QuickBooks, and Stripe.](https://www.scalexp.com/wp-content/uploads/2024/10/Group-1111112086-1024x604.png)

## Automate Multi-Entity Group Reporting from QuickBooks, Xero and Zoho Books

![ScaleXP dashboard showing segmented financial reporting across multiple entities](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111111921-e1772726958129-1024x585.png)

ScaleXP is group reporting software for multi-entity businesses that want consolidated reporting without an ERP migration or a heavy enterprise consolidation tool. Connect your QuickBooks, Xero and Zoho Books entities, add trial balance uploads for anything else, and refresh the consolidated P&L, balance sheet, cash flow and board pack from one place.

More entities, currencies or intercompany activity? Book a meeting to discuss.

![ScaleXP dashboard showing segmented financial reporting across multiple entities](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111111921-e1772726958129-1024x585.png)

## Intercompany Eliminations Software for Multi-Entity Groups

![ScaleXP financial consolidation dashboard showing multi-entity revenue reporting, with Xero, Zoho Books and QuickBooks logos](https://www.scalexp.com/wp-content/uploads/2026/03/consolidate-with-scalexp-across-zoho-qbo-and-xero-1024x682.png)

Intercompany sales, cost recharges, intercompany loans and group entries are hard to eliminate when each entity closes in its own ledger and the eliminations live in a spreadsheet. ScaleXP applies eliminations at group level to the intercompany accounts you map across your QuickBooks, Xero and Zoho Books entities. Your team reviews and approves; it does not rebuild them.

- Identify intercompany balances across entities, whatever ledger each one uses
- Apply elimination entries and group adjustments at group level, not in a workbook
- Review entity-level inputs and the consolidated result in one controlled workflow
- Keep a clear record of who owns each group entry, month after month

For growing groups, that means fewer linked workbooks, eliminations that are applied the same way every month, and a shorter, more reliable path from entity close to consolidated group reporting.

![ScaleXP intercompany eliminations dashboard showing connected entities, identified intercompany balances, group adjustments and consolidated P&L output](https://www.scalexp.com/wp-content/uploads/2026/06/intercompany-eliminations-software-1024x600.png)

## Budget vs Actuals Tracking Across Entities

![ScaleXP dashboard showing segmented financial reporting across multiple entities](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111111921-e1772726958129-1024x585.png)

Group actuals are only half the job. Teams also need to compare actuals with budget. That means by entity, department, region, fund, project and cost center.

ScaleXP automates budget vs actuals across the group. It uses the structures you already hold in Zoho Books, Xero or QuickBooks.

- [Track up to 15 budgets](https://www.scalexp.com/case-studies/)
- [Compare actuals vs budget across multiple entities](https://www.scalexp.com/case-studies/)
- [Report by department, region, fund, project or cost center](https://www.scalexp.com/case-studies/)
- [Reduce manual budget reporting in spreadsheets](https://www.scalexp.com/case-studies/)

CFOs can see at a glance where the group is ahead of plan or behind it. No one has to rebuild budget reports each month.

![Budget vs actuals reporting across entities, departments, tracking codes, classes and locations.](https://www.scalexp.com/wp-content/uploads/2026/06/budget-vs-actuals-group-reporting-1024x683.png)

## Budget Reporting by Tracking Codes, Classes and Locations

![ScaleXP financial consolidation dashboard showing multi-entity revenue reporting, with Xero, Zoho Books and QuickBooks logos](https://www.scalexp.com/wp-content/uploads/2026/03/consolidate-with-scalexp-across-zoho-qbo-and-xero-1024x682.png)

ScaleXP reads the tags you already use in your accounts. That lets it track budget vs actuals below entity level.

- Finance teams can compare actuals vs budget by:
- Zoho tracking codes
- Xero tracking categories and tracking codes
- QuickBooks Classes
- QuickBooks Locations

Teams can track budgets with the tags they already keep in Zoho Books, Xero or QuickBooks. There is no need to build separate spreadsheet logic.

![Budget versus actuals report by tracking codes, classes and locations, showing departmental and regional performance analysis across accounting systems in ScaleXP.](https://www.scalexp.com/wp-content/uploads/2026/06/budget-vs-actuals-tracking-codes-1024x600.png)

## Consolidation Software for QuickBooks, Xero and Zoho Books

![ScaleXP financial consolidation dashboard showing multi-entity revenue reporting, with Xero, Zoho Books and QuickBooks logos](https://www.scalexp.com/wp-content/uploads/2026/03/consolidate-with-scalexp-across-zoho-qbo-and-xero-1024x682.png)

Your entities do not all need the same accounting platform. ScaleXP consolidates multiple QuickBooks companies, Xero organizations and Zoho Books organizations into one group P&L, balance sheet and cash flow. Each entity keeps its own ledger; the group gets one reporting format. Entities on Xero or QuickBooks sync daily, so consolidated reports refresh from live data rather than month-end exports.

You can also report below entity level with the tags you already keep: Xero tracking categories, QuickBooks Classes and Locations, and Zoho Books tracking codes.

![ScaleXP financial consolidation dashboard showing multi-entity revenue reporting, with Xero, Zoho Books and QuickBooks logos](https://www.scalexp.com/wp-content/uploads/2026/03/consolidate-with-scalexp-across-zoho-qbo-and-xero-1024x682.png)

## Include Every Entity, Even When Systems Differ

![ScaleXP dashboard showing segmented financial reporting across multiple entities](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111111921-e1772726958129-1024x585.png)

Not every subsidiary will use the same system. ScaleXP covers Xero, QuickBooks, Zoho Books and trial balance uploads. So you can include smaller entities without moving them to a new ledger.

- [Merge entities that use different systems](https://www.scalexp.com/case-studies/)
- [Add trial balance data from Google Sheets or Excel Online](https://www.scalexp.com/case-studies/)
- [Map local account structures into one group view](https://www.scalexp.com/case-studies/)
- [Report across the full group, not just connected ledgers](https://www.scalexp.com/case-studies/)

Group reporting lines up, and each office keeps the system it knows.

Competitor details from each vendor's own website, checked 15 October 2026. "Not published" means the vendor does not state it.

## ScaleXP vs Fathom

Fathom and ScaleXP both consolidate Xero and QuickBooks Online entities, apply intercompany eliminations and let you set your own exchange rates. The differences are in focus and in structure. Fathom covers more ledgers, including MYOB, FreeAgent, Sage Accounting and QuickBooks Desktop. It publishes three-way cash flow forecasts and a limit of 300 entities per group, with multi-currency consolidations of up to 50 entities. ScaleXP consolidates up to 50 entities across Xero, QuickBooks Online and Zoho Books, and puts 30+ SaaS metrics next to the group accounts, plus HubSpot, Salesforce or Pipedrive data for groups on Xero or QuickBooks Online.

On ownership, Fathom states it "does not natively support partial ownerships or minority interests". In ScaleXP, non-controlling interest is recorded through a consolidation adjustment entity. If your entities run on MYOB or Sage, Fathom fits on ledgers alone. If the board pack needs ARR, MRR and churn by entity, or you run Zoho Books, ScaleXP is the closer match. See [Fathom alternatives](https://www.scalexp.com/blog/fathom-alternatives/) for a wider comparison.

ScaleXP and Fathom compared, from each vendor's own website

| | ScaleXP | Fathom |
|---|---|---|
| Ledgers | Xero, QuickBooks Online, Zoho Books; other entities through a trial balance (Google Sheets) | Xero, QuickBooks Online and Desktop, MYOB, Sage Accounting, FreeAgent, Access Financials UK, Excel, Google Sheets |
| Entity limit | Up to 50 | Up to 300 per group; multi-currency consolidations of up to 50 |
| Minority interests | Recorded through a consolidation adjustment entity | "does not natively support partial ownerships or minority interests" |
| SaaS and CRM data | 30+ SaaS metrics; HubSpot, Salesforce or Pipedrive connected at the parent (Xero or QuickBooks Online) | Custom and non-financial KPIs; SaaS metrics and CRM integrations not published |
| Forecasting | Budgets loaded at the parent or per subsidiary, with budget vs actuals | Three-way cash flow forecasts with scenarios |

Fathom details from fathomhq.com, checked 15 October 2026.

## Consolidating Salesforce or HubSpot data with the group accounts

In a consolidated company on Xero or QuickBooks Online, you connect HubSpot or Salesforce once, at the parent, so CRM data feeds group-wide metrics and reporting. The CRM currency must match your ScaleXP organization's currency, and deals in other currencies are translated at the rates your CRM provides. You choose which HubSpot pipelines, or Salesforce record types and types, count as new sales and which count as renewals. The CRM supplies contract data and each entity's ledger supplies the invoices. Matching closed-won deals to invoices creates contracts and renewals. Reports can then combine pipeline, customer metrics such as MRR and churn, and the consolidated P&L. Billing from several Xero or QuickBooks entities? ScaleXP Invoicing lets you pick the entity for each HubSpot invoice.

## SaaS Group Reporting for Multi-Entity Finance Teams

![ScaleXP dashboard showing segmented financial reporting across multiple entities](https://www.scalexp.com/wp-content/uploads/2026/03/Group-1111111921-e1772726958129-1024x585.png)

For SaaS groups, the numbers are only half the story. Leaders also need to explain ARR, MRR, churn, retention and revenue trends. And they need it by entity, region and business unit.

ScaleXP puts financial consolidation and SaaS reporting side by side. CFOs move from entity accounts to a board-ready pack. There is no second spreadsheet pack for KPIs.

- [Connect consolidated financials with SaaS performance reporting](https://www.scalexp.com/case-studies/)
- [Review group results alongside ARR, MRR, churn and NRR](https://www.scalexp.com/case-studies/)
- [Give boards and investors a clearer view of performance](https://www.scalexp.com/case-studies/)
- [Reduce separate reporting packs for finance and SaaS metrics](https://www.scalexp.com/case-studies/)

SaaS teams end up with one full picture: group accounts, group performance and SaaS KPIs in one place.

## Financial Consolidation FAQs

### What is financial consolidation software?

Financial consolidation software combines the accounts of several legal entities into one set of group financial statements: a consolidated P&L, balance sheet and cash flow. It maps each entity’s chart of accounts to a group format, translates foreign-currency entities into the group currency, eliminates intercompany balances and produces group reporting. ScaleXP does this for groups whose entities run on Xero, QuickBooks Online or Zoho Books.

### Can ScaleXP consolidate entities on different accounting systems?

Yes. ScaleXP consolidates up to 50 entities across Xero, QuickBooks Online and Zoho Books, and each entity keeps its own ledger and connection. An entity without a supported accounting connection can be added through the Trial Balance (Google Sheets) integration.

### How does ScaleXP handle multi-currency consolidation?

ScaleXP converts subsidiary results into the parent currency at month end. The P&L uses the average monthly rate and the balance sheet uses the rate on the last day of the month. Rates come from Open Exchange Rates, and you can replace them with your own at the parent.

### Can ScaleXP handle intercompany eliminations?

Yes. At the parent, you move intercompany accounts into Intercompany Revenue, Costs, Assets or Liabilities categories, or flag them on the Eliminated Accounts page. The accounts stay in each subsidiary and are eliminated at group level. FX differences from eliminations are calculated automatically, and a report column can show the eliminations on their own.

### Do all entities need the same chart of accounts?

No. You map each entity’s accounts to the group P&L and balance sheet format at the parent. Cascade from Parent then copies that structure to the subsidiaries, so the group rolls up consistently.

### Can ScaleXP report by entity, department or business unit?

Yes. A P&L, balance sheet or cash flow report can be split by entity, or you can build columns that combine selected entities. Xero tracking categories and QuickBooks classes can be imported when you connect each entity, and Zoho Books reporting tags can be added to reports.

### Can ScaleXP report budget vs actuals across the group?

Yes. You can load a consolidated budget at the parent, or upload budgets for each subsidiary and combine them at the parent. Subsidiary budgets are needed if you want budget vs actuals by subsidiary.

### Is ScaleXP consolidation software for QuickBooks?

Yes. ScaleXP consolidates several QuickBooks Online companies, alongside Xero and Zoho Books entities, into one group P&L, balance sheet and cash flow. Each QuickBooks company keeps its own file and syncs daily. Classes can be imported for reporting below entity level.

### Can ScaleXP consolidate SaaS metrics and CRM data?

Yes. At the parent, the Customers tab consolidates MRR, churn, upsells, downgrades and deferred revenue across subsidiaries. HubSpot, Salesforce or Pipedrive connects at the parent, so pipeline and renewal data sit next to the consolidated accounts. ScaleXP includes 30+ SaaS metrics.

### How much does ScaleXP cost, and can I try it first?

[Plans start at $125/month](https://www.scalexp.com/pricing/) (USD). You can try ScaleXP free for 7 days on your own data. Every plan includes tailored onboarding: 1 hour on Starter, 3 hours on Growth and Scale.

### What makes consolidation audit-ready in ScaleXP?

Auditors need to see how the group numbers were built. In ScaleXP, consolidation eliminates intercompany balances using accounts you designate, and a report column can show the eliminations on their own. Every journal includes a full audit trail, downloadable as a spreadsheet, and auditors can have read-only access.
