  • A sophisticated series of algorithms read and process all data and text on your customer invoices and supplier bills.
  • The system understands from this text how to allocate revenue and costs.
  • IFRS and GAAP compliant revenue and cost schedules are prepared, ready for your review & confirmation. These integrate all of your general ledger codes and tracking codes where relevant.
  • Journals are posted back to Xero, with full audit detail as downloadable spreadsheets.

What Xero accounting automation covers in ScaleXP

ScaleXP connects to Xero and prepares the recurring month-end entries that finance teams otherwise rebuild in spreadsheets. Each journal is prepared by ScaleXP and posted once finance approves it.

  • Deferred revenue. ScaleXP reads each invoice line and its service dates, spreads the revenue across the months of service and suggests the deferred revenue journal every month. In Xero, it arrives as a draft journal that you approve.
  • Accrued revenue. Revenue earned but not yet invoiced is added, released and posted through its own monthly journal.
  • Prepaid expenses. Add the service period to each bill line, for example "1 Jan - 31 Dec 2026" or "annual"; ScaleXP reads it and spreads the cost to the expense account you choose.
  • Accrued expenses. Accruals are held in a dedicated accrued expenses liability account in Xero, so the balance can be traced back to each accrual.
  • Segmentation. Xero tracking codes on each invoice let ScaleXP filter metrics, reports and journals by product, department or region.
  • Locked periods. If a month is already locked in Xero, ScaleXP suggests posting to the next available open period.
