Key takeaways
Short answer: for SaaS, subscription and multi-entity businesses that close their books in Xero or QuickBooks Online, ScaleXP is the best month-end close software in 2026. It builds your accruals, prepayments, deferred revenue and accrued income schedules from ledger data, applies IFRS 15 and ASC 606 rules, and posts each journal to Xero or QuickBooks only after finance approves it. Prices are published: full close automation starts at $350 a month.
The other tools are strong in their own lane. Numeric and FloQast are close-management platforms for larger accounting teams. BlackLine is built for enterprises. Fathom is a reporting and forecasting layer rather than a close tool.
ScaleXP publishes this guide. Competitor details are limited to what each vendor publishes on its own website, checked in October 2026.
ScaleXP is the only option here that connects to Xero and QuickBooks Online, prepares the month-end adjustments itself and publishes its prices.

Two kinds of software are sold as “month-end close software”. Close management tools organize the close: checklists, reconciliations and sign-offs. Close automation tools prepare the entries themselves. For a subscription business on Xero or QuickBooks, most close days go on the entries: rebuilding accrual, prepayment and deferred revenue schedules in spreadsheets. So we weighted the criteria toward that work.
We used each vendor's own website and pricing page, read in October 2026. Features only available on request are not counted.
Best for: SaaS and subscription businesses, and multi-entity groups, that close their books in Xero or QuickBooks Online and still build adjustments or consolidations in spreadsheets.
ScaleXP connects to Xero or QuickBooks Online and does the work that usually fills the first days of the close. It builds the schedules for accruals, prepayments, deferred revenue and accrued income, then proposes the journals. Finance reviews and approves each one before it posts back to the ledger. In Xero they post as draft or final manual journals, by customer or tracking category. In QuickBooks Online they post by Class and Location where you use them.
“ScaleXP has simplified our entire finance workflow. Month-end close now takes 90% less time to ensure invoices are flowing correctly through the system.”
Sjoerd, Co-Founder & CFO, EU Tech Group
“We save 4 days each month through ScaleXP. I simply would not be able to deliver as much to the business without it.”
Michelle, Head of Finance & People, Nomadic Learning
“ScaleXP has allowed us to save between 3 and 5 days a month.”
Estiaan, Finance Manager, Cue Technology
“We have been able to significantly reduce the time to prepare our monthly reporting packs consolidating 6 business entities, feeding into a group board pack at the click of a button with 100% accuracy.”
John, Chief Financial Officer, Nourish Care
ScaleXP is rated 5.0 on the Xero App Store from more than 75 reviews, and was a Xero Staff Pick in 2023 and 2025. Cue Technology saves 3 to 5 days a month, and Nomadic Learning at least 4 days a month on the close.
Pricing: plans start at $125 a month. Fully automated month-end close, including accruals, prepayments and deferred revenue, is on the Growth plan at $350 a month, plus $80 for each additional subsidiary. Paying annually saves 10%, and there is a 7-day free trial with no card required. Prices exclude VAT.
Worth knowing: year-end support covers the closing adjustments, not statutory accounts or tax filings. Teams on NetSuite or SAP that mainly need task management may prefer a close-management platform.
Numeric runs the close from a central checklist. It automates balance sheet reconciliations so the team reviews only the exceptions, and AI drafts the first version of flux explanations. It also offers cash matching, transaction monitors and newer billing and revenue recognition products. It supports NetSuite, QuickBooks Online, Xero and Sage Intacct, though much of its website is written for NetSuite teams.
How it compares with ScaleXP: Numeric's published focus is organizing and reviewing the close. Its website does not describe building accrual, prepayment or deferred revenue schedules from Xero or QuickBooks data, which is the core of what ScaleXP does.
Pricing: you need to contact sales for a quote. Plans are set after a demo.
FloQast is a close-management suite: checklists, account reconciliations, journal entries that are prepared, approved and posted, and AI-drafted variance explanations. Its automated reconciliations cover amortization, depreciation and sub-ledgers. It lists NetSuite, Sage Intacct, Workday, SAP, Oracle, Xero and QuickBooks among its integrations, and says it is used by more than 3,500 companies.
How it compares with ScaleXP: FloQast is designed for accounting teams with several accountants and formal sign-off chains. A lean finance team on Xero or QuickBooks gets its schedules and journals built by ScaleXP, with prices it can see before speaking to sales.
Pricing: you need to contact sales for a quote. Packages are tailored to each customer, with no per-user fees.
BlackLine covers the financial close and consolidation at enterprise scale: account reconciliations, transaction matching, journal entries, task management and intercompany. It says it serves more than 4,300 companies.
How it compares with ScaleXP: BlackLine is built for large ERPs and shared-service teams, and its website does not mention Xero or QuickBooks. For a business closing in either of them, it is more platform, and more implementation, than the close needs.
Pricing: you need to contact sales for a quote.
Fathom produces management reports, cash flow forecasts and analysis from Xero, QuickBooks, MYOB and Sage, and can consolidate several businesses.
How it compares with ScaleXP: Fathom reports on the numbers after the close. It does not prepare accruals, prepayments or deferred revenue journals. ScaleXP closes the books and reports on them, with more than 30 SaaS metrics calculated automatically.
Pricing: published on its website and based on the number of companies. There is a 14-day free trial.
Spreadsheets cost nothing and work for a handful of schedules. They break as the business grows: each late invoice means rebuilding a schedule, formulas drift, and there is no approval trail between the workbook and the ledger.
Signs you have outgrown them:
If your books close in Xero or QuickBooks Online, start with ScaleXP. The other tools fit different stacks and team sizes.

For businesses that close in Xero or QuickBooks Online, ScaleXP is the strongest choice in 2026. It is the one tool here that is built around Xero and QuickBooks, prepares the accruals, prepayments and deferred revenue itself, keeps every journal under approval and publishes its prices. Numeric, FloQast and BlackLine serve larger teams on bigger ERPs. Fathom is a good reporting layer once the close is done.

ScaleXP. It connects directly to Xero, builds accrual, prepayment, deferred revenue and accrued income schedules, and posts approved journals back to Xero, by customer or tracking category. It also consolidates multiple Xero entities and currencies.
ScaleXP. It syncs the period from QuickBooks Online, proposes the month-end journals and posts each approved one by Class and Location. Reports refresh as soon as the journals post.
Yes. ScaleXP is built for subscription businesses: it turns invoices and contract dates into deferred revenue schedules under IFRS 15 and ASC 606. It can also bring in contract data from HubSpot, Salesforce or Pipedrive.
A checklist tool tracks who has done each task. Close automation software does the tasks: it builds the schedules and prepares the journals. ScaleXP does both, with a checklist that records status, reviewer and approver.
For subscription businesses it is often one of the biggest manual jobs in the close. Automating it removes the monthly schedule rebuild and keeps revenue consistent with invoices, credit notes and contract changes.
ScaleXP, BlackLine and Fathom all consolidate several entities. ScaleXP does it on Xero and QuickBooks data, even when entities use different ledgers, and in the same place as the close, so group reports reflect approved journals.
No. In ScaleXP every journal is proposed, reviewed and approved before it posts, and each one traces back to its source transaction. That trail also makes the audit faster.
Implementation typically takes around three weeks, and some companies go live faster. Connecting Xero or QuickBooks takes a few hours. A 7-day free trial lets you test ScaleXP on a real close first.
