Key takeaways
Short answer: Choose consolidation software by testing it against the parts of your group that break the spreadsheet: mixed ledgers, foreign-currency entities, intercompany balances and the board-pack deadline. A tool that handles your hardest entity and your messiest month will handle the rest.
This guide is for finance teams whose entities run on Xero, QuickBooks Online or Zoho Books. It covers when to move off spreadsheet consolidation, the criteria to test, the questions to ask any vendor, and where spreadsheets, Fathom, Joiin and ScaleXP each fit. ScaleXP publishes this guide; competitor details come from each vendor's own website and were checked on October 15, 2026.
A spreadsheet consolidation stops being fit for purpose when the work of rebuilding it each month takes longer than reviewing the result. The entity count alone is a weak signal. A group of three entities in three currencies with daily intercompany recharges is harder to consolidate than six single-currency entities that never trade with each other.
The common triggers are:
If two or more of these apply, software usually pays for itself in review time rather than preparation time. For what consolidation software does, see financial consolidation software.
Each criterion below is something you can test in a trial on your own data, rather than a feature to tick off a brochure.
Check the published entity limit and whether it changes with currencies. Fathom, for example, publishes two limits: up to 300 entities in a consolidated group, and up to 50 for multi-currency consolidation. Ask how partially owned subsidiaries, holding companies with no trading ledger and dormant entities are handled.
Confirm that every ledger you run today has a direct connection, and ask how an entity on an unsupported system is added. A trial balance upload is the usual route, so ask who maintains it and how often it refreshes. Also ask how quickly a change posted in each ledger reaches the consolidation, since sync timing can differ by ledger.
Ask where the exchange rates come from, which rate applies to the P&L and which to the balance sheet, and whether you can override rates for a month to match what your auditors expect. Check how the translation difference is shown in the consolidated reports.
Find out how intercompany accounts are identified, whether eliminations are applied by account or by value, and how a mismatch between two entities is surfaced. Ask whether the eliminated amounts can be shown in their own report column, so a reviewer can see what was removed.
Entities rarely share one chart of accounts. Test how long it takes to map each entity to a group format, what happens when a subsidiary adds a new account, and whether one mapping can be copied across entities. Check tracking categories (Xero), classes and locations (QuickBooks Online) and reporting tags (Zoho Books) if you report below entity level.
Ask whether you can load a group budget, roll up entity budgets, or both, and how many budget versions you can compare in one report. If you budget non-financial metrics, check that they can sit in the same report as the consolidated actuals.
Ask what the board actually receives: a PowerPoint or PDF pack, a shared online view, an Excel export, or all three. Check whether commentary and charts refresh when the numbers change, so the pack is not rebuilt each month.
Group adjustments such as goodwill, non-controlling interests and acquisition entries sit outside any one subsidiary. Ask where they are recorded, who can change them, and whether you can export the transactions behind a consolidated figure for your auditors.
Subscription groups often report ARR, MRR and churn alongside the consolidated accounts. Ask whether the tool calculates these from invoices across entities, or only reads them from a billing system, and whether HubSpot or Salesforce pipeline data can sit next to the group numbers.
Consolidation tools are commonly priced by the number of companies connected, by plan, or both. Model your cost at today's entity count and at the count you expect in two years, and check whether consolidated groups, extra users or additional currencies cost extra.
The table below turns the criteria into questions to put to every vendor, and what a useful answer looks like.
| Area | Question to ask | A useful answer includes |
|---|---|---|
| Entities | What is the maximum number of entities, and does it change with multi-currency? | A published number, and how partially owned or non-trading entities are added |
| Ledgers | Which of our ledgers connect directly, and how is any other entity added? | A named list, plus the trial balance route and its refresh frequency |
| Sync | How often does each ledger sync, and can we force a refresh? | A sync schedule, a manual refresh option and any per-ledger delays |
| FX | Which rate source do you use, which rates apply to the P&L and balance sheet, and can we override them? | A named rate provider, the rate rules, and an override at group level |
| Intercompany | How are intercompany accounts identified and eliminated, and how are FX differences on eliminations shown? | The set-up steps, and a report view that isolates eliminations |
| Mapping | Do all entities need the same chart of accounts? How are new accounts picked up? | Mapping to a group format, and a way to copy structure across entities |
| Budgets | Can we load group and entity budgets, and how many versions can we compare? | Both routes, and a stated number of budget versions |
| Board pack | What formats can the board pack be exported in? | PowerPoint or PDF, Excel, and a shareable online view |
| Audit trail | Where are group adjustments recorded, and can we export the transactions behind a figure? | A documented adjustment method and a transaction-level export |
| Metrics and CRM | Can ARR, MRR and churn consolidate across entities? Can CRM data connect at group level? | Where the metrics come from, and which CRMs connect |
| Pricing | How is the price calculated as we add entities, users and currencies? | A published price model and the cost at our future entity count |
| Trial | Can we trial on our own ledgers, and for how long? | A trial on live data, its length and whether a card is needed |
The four options below suit different groups. The facts come from each vendor's own website or help center, checked October 15, 2026. Where a vendor does not publish a fact, the table says "Not published", which does not mean the feature is absent.

Spreadsheets fit a small group with one currency, few intercompany transactions and a finance lead who owns the workbook. They cost nothing to license and can model any structure. Their limits are the ones in the first section: manual exports, rates and eliminations applied by hand, version control, and no record of who changed what unless you build one.
Fathom publishes consolidation for up to 300 entities, or up to 50 in a multi-currency group, across a wide range of ledgers including MYOB, Sage Accounting (UK) and FreeAgent. Its consolidated groups are free of charge, with pricing based on the companies connected. Its limits, as published: multi-currency consolidations with eliminations are listed as a Pro plan feature, Zoho Books is not among the integrations it lists, and Fathom describes itself as "a management reporting tool for internal reporting, rather than as a statutory reporting tool."
Joiin publishes consolidation for "a few or unlimited entities", with chart-of-accounts mapping and eliminations on all plans, support for partially owned subsidiaries, and connections to Xero, QuickBooks Online and Zoho Books among others. It prices by the number of companies consolidated and includes unlimited users. Its limits, as published: its consolidations page does not state the source of its exchange rates, its subscription metrics come through Stripe and are not on every plan, and its pricing page shows different figures in different places, so confirm a quote directly.
ScaleXP consolidates up to 50 entities across Xero, QuickBooks Online and Zoho Books into a group P&L, balance sheet and cash flow, and adds 30+ SaaS metrics and HubSpot, Salesforce or Pipedrive data at the parent. Its limits, from its own help center:
"ScaleXp has greatly reduced the time spent in merging multicompanies with multi currencies and developing overall management KPI's."
Jane, Xero App Store review, August 2022
In ScaleXP, you create a parent organization and connect each subsidiary to its own Xero, QuickBooks Online or Zoho Books ledger. You then map each entity's accounts to one group P&L and balance sheet format at the parent, and Cascade from Parent copies that structure to the subsidiaries. Subsidiary results convert into the parent currency at month end. The P&L uses the average monthly rate and the balance sheet uses the rate on the last day of the month.
Intercompany accounts are moved into intercompany categories or flagged on the Eliminated Accounts page. They stay visible in each subsidiary and are eliminated at group level. Budgets can be loaded at the parent or built up from subsidiary budgets. Reports export to Excel or CSV, including the transaction detail behind a P&L, and presentations download as PowerPoint or PDF board packs. Read more on the financial consolidation software page, or see Xero and QuickBooks consolidation and Zoho Books consolidation.
Move off spreadsheet consolidation when mixed ledgers, currencies or intercompany volume make the monthly rebuild slower than the review. Shortlist tools on ledger coverage first, then test FX rules, eliminations and the board-pack output on your own data. Fathom and Joiin cover a wider range of ledgers. ScaleXP fits groups of up to 50 entities on Xero, QuickBooks Online and Zoho Books that also report SaaS metrics or CRM data. Compare plans on the pricing page.
Move to software when rebuilding the consolidation each month takes longer than reviewing it. The usual triggers are a second ledger after an acquisition, a foreign-currency subsidiary, regular intercompany recharges or loans, and a board pack that waits on the slowest entity. Key-person risk is another: if only one person understands the workbook, the group close depends on that person being available.
Yes, but check each vendor's published integrations. Joiin and ScaleXP both list Xero, QuickBooks Online and Zoho Books. Fathom lists Xero and QuickBooks Online but not Zoho Books. In ScaleXP, each entity keeps its own ledger and connection, and an entity on another system can be added through a Google Sheets trial balance.
Most groups translate the P&L at the average rate for the month and the balance sheet at the month-end rate. ScaleXP applies that rule using rates from Open Exchange Rates, and you can replace them with your own rates at the parent. Fathom also publishes openexchangerates.org as its default source, with custom rates allowed. Ask any vendor how the translation difference appears in the reports.
No. Consolidation tools map each entity's accounts to a group format. In ScaleXP, you map accounts at the parent, and Cascade from Parent copies the group structure to the subsidiaries so the group rolls up consistently. Fathom states that a consistent chart of accounts is not necessary but is recommended. Test the mapping on your largest entity during a trial.
Most tools price by the number of companies connected, by plan, or both. Fathom prices per company connected and does not charge for consolidated groups. Joiin prices by the number of companies across three plans. ScaleXP plans start at $125/month, with a 7-day free trial on your own Xero or QuickBooks Online data and no card required. Model the cost at your expected entity count.
