ARR per Employee: Calculation, Benchmarks & Improvement Guide

ARR per employee shows how much annual recurring revenue each full-time employee supports. Calculate it, and its revenue per FTE variant, with your own numbers, then compare it with two published 2026 benchmarks for private B2B SaaS.

ARR per employee is annual recurring revenue divided by the number of full-time equivalent (FTE) employees. It measures how much recurring revenue the business supports for each person it employs, and is one of the most widely used efficiency measures for SaaS companies.

A close variant is revenue per FTE (also called revenue per employee): trailing twelve-month revenue divided by average FTEs. The two answer the same question from different bases. ARR per employee uses the forward-looking recurring run rate; revenue per FTE uses recognized revenue, which includes one-time fees and lags ARR in a growing company. This page covers both.

ARR per employee = annual recurring revenue ÷ full-time equivalent employees

Inputs:

  • Annual recurring revenue: the annualized value of active recurring contracts at period end. See annual recurring revenue for how to calculate it consistently.
  • Full-time equivalent employees: headcount expressed as full-time equivalents, so two half-time employees count as one. State whether contractors are included; published benchmarks do not always say.

For revenue per FTE, replace ARR with trailing twelve-month revenue, and use average FTEs over the same twelve months.

Worked example

A company has $8,000,000 of ARR at year end and 40 full-time equivalent employees.

ARR per employee = $8,000,000 ÷ 40 = $200,000

LineAmount
ARR at year end$8,000,000
Full-time equivalent employees at year end40
ARR per employee$200,000

The same company recognized $7,200,000 of revenue over the year, with an average of 36 FTEs. Its revenue per FTE is $7,200,000 ÷ 36 = $200,000. The figures match here only because revenue and headcount grew together; in most companies they differ, so state which one you report.

How is ARR per employee used by SaaS companies?

  1. Testing whether growth is efficient. If ARR grows faster than headcount, ARR per employee rises and each hire is supporting more revenue. If it falls, growth is being bought with people.
  2. Headcount planning. A target ARR per employee converts an ARR plan into a hiring ceiling. A company planning $12M of ARR at $200,000 per employee is planning for about 60 FTEs.
  3. Investor and lender conversations. It is a simple, comparable efficiency figure that investors read alongside growth rate and the Rule of 40.
  4. Comparing teams or business units. Calculated by department, it shows where headcount is growing ahead of revenue.

ARR per employee says nothing about profitability on its own. A company with high ARR per employee can still burn cash if salaries, hosting or third-party costs are high, so read it with gross margin and cash burn.

What is a good result?

A useful reading is against companies of a similar size and funding model. The published benchmarks below show that ARR per employee tends to rise with company size, and that it differs between bootstrapped and equity-backed companies, so a single company-wide threshold is less informative than the cohort comparison. The direction of travel also matters: a rising figure means revenue is growing faster than headcount.

What are the ARR per employee benchmarks?

Two primary sources publish 2026 figures. They use different samples and give different medians, so quote the source with the number.

Benchmarkit's own summary page shows $175K for the 2026 report without stating the sample, so this page uses the $193K figure. Checked October 26, 2026.

SaaS Capital 2026 (private SaaS)Median ARR per FTE
All companies$141,125 (up from $129,724 the year before)
$1M–$3M ARR$109,644
$5M–$10M ARR, equity-backed$152,295

Source: SaaS Capital, Nick Perry, Revenue per employee benchmarks for private SaaS companies, July 30, 2026, from its 15th annual survey of more than 1,000 SaaS companies. The number of companies answering this question is not stated, and no quartiles are published. Checked October 26, 2026.

The gap between the two medians is large. The Aleph × Benchmarkit figure is based on 96 companies, including AI-native companies, while the SaaS Capital survey covers a broader base of private companies, many of them smaller. For a company with $1M–$50M of ARR, the SaaS Capital size bands are the closer comparison.

What to do with your ARR per employee number

  • Fix the definition. Choose period-end or average FTEs, decide whether contractors count, and keep both choices the same each period.
  • Compare against the right cohort. Use the size band and funding type closest to your own, and name the source when you quote the benchmark.
  • Track it quarterly. A single point says little; the trend shows whether hiring is running ahead of revenue.
  • Break it down by function. ARR per employee in sales, engineering and support shows where headcount is growing faster than the revenue it supports.
  • Pair it with spend. Read it with sales efficiency and burn, so that efficiency gains are not simply a hiring freeze.

How ScaleXP supports ARR per employee

ScaleXP calculates ARR and 30+ other SaaS metrics from your accounting data, your CRM data or both. Metric definitions can be edited, so ARR is measured on one definition every period, which keeps ARR per employee comparable from year to year.

Headcount is not an ARR input: take the full-time equivalent figure from your HR or payroll records for the same date, and state whether contractors are included.

Frequently asked questions

What is a good ARR per employee for a SaaS company?

It depends on size and funding. The 2026 Aleph × Benchmarkit study reports a median of $193K across 96 reporting companies, with a top quartile of about $279K. SaaS Capital's 2026 survey of private SaaS companies reports a lower median of $141,125, rising with company size from $109,644 at $1M–$3M ARR. Compare against the cohort closest to your own size and funding model, and name the source when you quote it.

What is the difference between ARR per employee and revenue per FTE?

ARR per employee divides the current recurring run rate by full-time equivalent employees. Revenue per FTE divides trailing twelve-month recognized revenue by average FTEs over the same period. Revenue per FTE includes one-time fees and lags ARR when a company is growing, so it is usually lower for a fast-growing SaaS business. Either is valid, but the two should not be compared with each other or mixed between periods.

Should contractors be included in ARR per employee?

There is no single rule, and published benchmarks do not always say. Including long-term contractors who do the work of employees gives a truer picture of efficiency, especially for companies that outsource development or support. Excluding them flatters the figure. Whichever approach you take, count contractors as full-time equivalents, apply the same rule every period, and say which basis you use when comparing with a benchmark.

How do you improve ARR per employee?

Grow ARR faster than headcount. In practice that means improving retention and expansion, which add ARR without proportional hiring, and automating repeatable work in finance, support and onboarding. Pricing changes that raise average contract value help as well. Cutting headcount raises the ratio in the short term but can slow growth, so track it alongside ARR growth and the Rule of 40 rather than as a target on its own.

Does ScaleXP calculate the ARR used in ARR per employee?

Yes. ScaleXP calculates ARR and 30+ other SaaS metrics from Xero or QuickBooks Online data, from HubSpot, Salesforce or Pipedrive data, or from both. For Zoho Books, ScaleXP provides MRR and ARR reporting. Customers choose the data source for each metric, and metric definitions can be edited, so the ARR in the numerator follows one agreed definition. The employee count comes from your HR or payroll records, measured at the same date as the ARR figure.
