Key takeaways
Short answer: HubSpot Revenue Hub covers the commercial side of quote-to-cash: quotes, contract records, subscriptions, recurring billing, invoices and payments, with invoices and payments syncing to QuickBooks Online and Xero. Finance still needs revenue recognized over the service period, a deferred revenue balance and journals in the ledger, and ARR and retention figures that tie to the accounts.
This guide sets out what HubSpot publishes about Revenue Hub, where its numbers stop and the ledger's begin, and how finance teams on Xero or QuickBooks Online fill the gap. HubSpot details come from HubSpot's own product pages and knowledge base, checked on October 27, 2026. ScaleXP publishes this guide.
Revenue Hub is HubSpot's product for quoting, billing and collecting payment from the CRM. HubSpot's product page sums it up as "Quote, bill, and collect — all through HubSpot."
The table below lists the main parts, as HubSpot describes them, and the plan HubSpot names for each.
| Part | What HubSpot says it does | Plan named by HubSpot |
|---|---|---|
| Quotes (CPQ) | Build quotes, apply pricing rules and add discount guardrails from the deal record | Professional and Enterprise |
| Contracts | Turn signed quotes into structured contract records; "a centralized source of truth for committed revenue" | Professional and Enterprise |
| Subscriptions and billing | Recurring billing that starts when a quote is accepted, including mid-contract changes | Subscriptions on Free; automated billing on Professional and Enterprise |
| Invoices | Branded invoices linked to the customer record; credit memos can be issued from invoices | All Revenue Hub plans |
| Payments | Card, ACH, recurring payments and payment links through HubSpot Payments or Stripe | Transaction-based pricing |
| Revenue analytics suite | Prebuilt reports on invoices, quotes, subscriptions, payments and contracts | Professional and Enterprise |

On pricing, HubSpot's product page lists a free plan, Professional from $95 a month and Enterprise from $140 a month. The billing page says billing features are "currently available at an introductory value of 0 credits until April 1, 2027." Check HubSpot's pricing page for your seat count.
HubSpot's billing page states: "Invoices and payments sync automatically to QuickBooks Online and Xero." The sync runs through HubSpot's data sync apps, and the knowledge base articles set out rules that finance should know before relying on it.
The practical point for finance: once Revenue Hub bills, the invoice in Xero or QuickBooks Online is still the accounting record, and everything downstream of it (revenue schedules, deferred revenue, journals, the audit trail) is built from the ledger.
HubSpot's revenue analytics suite includes four contract reports. Two of them answer different questions about the same contract.

These reports are built from contract records in HubSpot. They describe what sales has committed and when it starts. They do not describe what has been recognized as revenue in the accounts, and HubSpot does not present them that way.
An illustrative example shows why finance and sales can both be right and still disagree. A customer signs on October 20, 2026 for a 12-month subscription at $24,000 a year, starting November 1, 2026. The full year is invoiced on November 1.
| View | October 2026 | November 2026 | Where it comes from |
|---|---|---|---|
| Booked MRR (HubSpot) | $2,000 | $0 | Contract booked in October |
| MRR waterfall, new (HubSpot) | $0 | $2,000 | Revenue becomes effective in November |
| Invoiced (ledger) | $0 | $24,000 | Annual invoice dated November 1 |
| Recognized revenue (ledger) | $0 | $2,000 | One month of service delivered |
| Deferred revenue at month end (ledger) | $0 | $22,000 | Eleven months still to deliver |
Each of the five figures is correct for the question each one answers. Board packs, audits and investor due diligence usually work from the last two, so ARR and retention figures are expected to agree with them.
None of the HubSpot pages checked for this guide mention revenue recognition, deferred revenue, ASC 606 or IFRS 15. That leaves a defined list of work with finance:
Some teams cover this list with spreadsheets. The risk grows with volume: each annual invoice, upgrade and credit note adds a line to a schedule that someone has to keep in step with HubSpot and the ledger.
For a team on HubSpot with Xero or QuickBooks Online, two set-ups are possible.
| Question | Revenue Hub bills | Finance tool creates invoices from deals |
|---|---|---|
| Where invoices are created | In HubSpot, then synced to the ledger | In Xero or QuickBooks Online, from the HubSpot deal |
| HubSpot plan needed for billing | Revenue Hub (contracts and automated billing on Professional or Enterprise) | Depends on the tool chosen |
| Revenue recognition and journals | Done from the ledger invoices by finance or a finance tool | Done from the same ledger invoices |
| Invoice and payment status in HubSpot | From HubSpot's own billing and sync | Written back by the tool, where it offers that |
Either way, the ledger invoice is the input for revenue recognition and ledger-based SaaS metrics. The choice is about where billing should live and which team owns it.
ScaleXP sits between HubSpot and the ledger and works from the invoices in Xero or QuickBooks Online. Its two-way sync between HubSpot, Salesforce or Pipedrive and Xero or QuickBooks Online means deal, invoice and payment data flow both ways, and invoice and payment status are written back to the CRM, so sales and finance have the data when they need it.
For the full workflow by ledger, see the HubSpot Xero integration and the HubSpot QuickBooks integration.
HubSpot Revenue Hub gives sales and billing one place to quote, contract, invoice and collect, and its invoices and payments reach Xero and QuickBooks Online through HubSpot's sync. Finance still owns revenue recognition, deferred revenue, journals and ARR that ties to the ledger. Decide where billing lives, keep the ledger as the accounting record, and build revenue schedules and SaaS metrics from the invoices there.
HubSpot Revenue Hub is HubSpot's product for quoting, billing and collecting payments from the CRM. It covers quotes, contract records, subscriptions, recurring billing, invoices and payments. HubSpot lists invoices, payment links and subscriptions on the free plan, and quotes, contracts and the revenue analytics suite on Professional and Enterprise, as checked on October 27, 2026.
The HubSpot pages checked on October 27, 2026 do not mention revenue recognition, deferred revenue, ASC 606 or IFRS 15. Revenue Hub reports booked MRR and an MRR waterfall from contracts, but recognizing revenue over the service period, and posting deferred revenue journals to Xero or QuickBooks Online, stays with finance and the ledger.
Yes. HubSpot's billing page says invoices and payments sync automatically to QuickBooks Online and Xero. HubSpot's knowledge base adds conditions: draft invoices do not sync to Xero, only invoices created in HubSpot go from HubSpot to Xero, and payments applied to several invoices do not sync from QuickBooks Online to HubSpot.
Booked MRR reports recurring revenue in the month the contract is booked, even if it starts later. The MRR waterfall reports movements when the revenue becomes effective. A contract signed in October that starts in November appears in October's booked MRR and in November's waterfall. Neither figure is revenue recognized in the accounts.
No. Revenue Hub is one route, and HubSpot lists contracts and automated billing on its Professional and Enterprise plans. ScaleXP can create Xero and QuickBooks Online invoices from HubSpot deals, and ScaleXP's HubSpot invoicing works on any HubSpot edition; no paid Commerce Hub is needed. Xero invoices go in as drafts or approved, the customer's choice.
Calculate ARR from the invoices and credit notes in Xero or QuickBooks Online, then reconcile it to booked figures in HubSpot. ScaleXP reports bookings, billings and recognized revenue side by side, and flags closed-won deals that have not been invoiced or were invoiced for a different amount, so differences between HubSpot and the ledger can be explained.
